  • AIRecruitEngine as Data Processor / Service Provider: When enterprise customers use our platform to source, screen, and interview job applicants, the customer acts as the Data Controller, and AIRecruitEngine processes candidate personal data strictly on the customer's behalf in accordance with our Data Processing Agreement (DPA).

3. Types of Personal Data We Process

Depending on how you interact with our platform, we may collect the following categories of information:

  • Contact & Account Information: Name, work email address, telephone number, company name, and job title when requesting a demo or registering for an enterprise account.
  • Candidate Professional Information: Publicly available work history, education, resume contents, code repository contributions, project summaries, and technical certifications.
  • Interview Telemetry & Transcripts: Audio/video recordings, automated text transcripts, and competency evaluation scorecards generated during AI video and voice screening sessions.
  • Technical & Usage Telemetry: IP address, browser type, device identifiers, operating system, and interaction timestamps.

4. How We Use Personal Data & AI Processing Safeguards

We process personal data for the following lawful business purposes:

  • To execute autonomous sourcing, contextual resume screening, and video interview workflows as configured by enterprise hiring teams.
  • To generate explainable, rubric-grounded candidate match scorecards for human interview panels.
  • To synchronize candidate stages, interview transcripts, and notes with customer ATS platforms (Greenhouse, Workday, Lever, Ashby).
  • To monitor algorithmic fairness and calculate statistical disparate impact metrics.
  • Explicit AI Policy: We do NOT sell candidate personal data. Customer requisition data and candidate resumes are NEVER used to train public or generalized third-party artificial intelligence models without explicit written authorization.

5. Data Retention & Regional Residency

Candidate data is retained only for the duration specified by the applicable employer's hiring retention schedule or as required by statutory labor records compliance. Customers may configure data residency in United States (US-East / US-West) or European Union (Frankfurt / Dublin) cloud infrastructure.

6. Candidate Rights (GDPR & CCPA/CPRA)

Subject to applicable local laws, natural persons have rights regarding their personal data, including the right to access, rectify, port, or request the deletion of their personal information. Candidates seeking to exercise these rights regarding an application submitted to an employer using AIRecruitEngine should contact the prospective employer directly. We assist our customers in promptly fulfilling verified data subject requests.

7. Security Safeguards

We implement technical and organizational security controls designed to safeguard personal data against accidental loss, unauthorized access, and unlawful processing, including TLS 1.3 encryption in transit and AES-256 encryption at rest.
